Why Technical Enquiries Go Cold Overnight

In engineering, it is the norm to bring your work home and work late, leading to enquiries being solved after hours. Spec sheets get compared in the evening, questions get typed out on a train, and enquiry forms get submitted well after the sales team has gone home.

It is worth remembering, we are human and we get tired. Buyers do not want to spend 30 minutes reading a spec sheet to solve their application, they need answers solved, they need less on their plate, so they submit an enquiry. Do not be fooled into thinking you are the only supplier they have asked though. By the time anyone sees it the next morning, the buyer has often already had a reply from someone else.

That gap between when an enquiry lands and when someone can actually answer it is where most lost deals happen. It rarely gets noticed, because nothing looks broken. The enquiry arrived but the intent was missed by 12 hours.

What “going cold” actually looks like

An enquiry submitted at 9pm on a Tuesday typically gets picked up around 9am on Wednesday, if the next morning is not already busy with existing work. By then, the buyer may have gone back to Google, found two more suppliers, and had a reply from at least one of them already. When your reply does arrive, they have likely found out another supplier can offer what they need and booked a demo, pushing you down to the bottom of their list of suppliers.

I myself have had enquiries go cold. I remember receiving a lead but I was on the road from 7am visiting a customer to close another deal. By the time I had finished the visit and phoned that lead, they politely informed me 3 other suppliers had quoted them and they only required three different quotes, that was £20k lost due to a slow response.

Why the delay happens even in well-run teams

This is not a resourcing failure so much as a structural one. Technical enquiries usually need someone who actually understands the product to answer properly, not just anyone available. Our admin teams are stars but are not usually product experts, so even if they want to help they are unable to due to lack of understanding for customer applications and the products we supply.

Small and mid-sized suppliers cannot reasonably staff a technical desk around the clock for a volume of enquiries that might only be a handful a night. So the enquiry waits for the one or two people qualified to answer it, and either they are on the road or busy closing other deals.

The cost of a slow first reply

The buyer’s side of this is well documented. Industry research consistently shows that buyers tend to move forward with whichever supplier responds first, and a delayed reply is one of the more common reasons a deal is lost before a sales conversation ever properly starts.

You may be reading this thinking, “well, I am the best priced supplier, they will come to me due to how much value we offer.” But we supply to customers who make millions if not billions a year, so if you respond within a 12 to 48 hour period, that other supplier who is 20% more expensive looks a bargain due to the time they have saved the prospect.

For a supplier fielding a steady flow of enquiries, the revenue sitting behind those overnight gaps can add up to a meaningful amount over a year, even if no single lost enquiry looks significant on its own.

What closes the gap without hiring night staff

The realistic fix is not a 24-hour rota, not to mention that is too expensive. It is having something in place that can answer accurately outside office hours using the same information your team already has, specs, manuals, pricing structure, so a genuine technical question gets a genuine answer immediately, rather than an automated “we will get back to you” that tells the buyer nothing.

The system does not need to close the sale. It needs to keep the enquiry warm, answer enough to hold the buyer’s interest, and flag anything that looks like a serious opportunity so it is the first thing your team sees in the morning rather than buried in an inbox.

You reading this will know better than me, but finding out instantly that a business supplies what you need for your exact application is a godsend. Even if you do not get the quote out to them until the morning, the prospect knowing they have found someone that has what they need removes something of their plate, causing customers to have a positive affinity with your company.

Getting the timing right
